Senior Marketing Coordinator – Shape Winning Strategies with Us!

 

The Senior Marketing Coordinator plays a key role in developing, editing, and producing high-quality proposals and qualifications materials in response to client requests (RFPs, RFQs, RFIs). In this mid-level role, you will own portions of proposal development, ensuring clarity, compliance, and brand consistency across all deliverables. Working closely with the business development, and technical teams, you’ll help craft compelling narratives that reflect the firm’s value proposition and technical expertise.

Responsibilities

● Write, edit, and format proposal content including resumes, project descriptions, cover letters, and
executive summaries, ensuring clarity, compliance, and alignment with client expectations and brand
standards.
● Collaborate with technical teams, project managers, and business development professionals to translate
complex information into compelling proposal content for a variety of audiences.
● Contribute to proposal strategy discussions, including win themes, key messages, and content
organization.
● Review RFP/RFQ requirements and assist with compliance checklists, response outlines, and production
schedules.
● Support the development and maintenance of reusable content, templates, graphics, and boilerplate
language to streamline future proposal efforts.
● Coordinate smaller or less complex proposals independently or manage proposal sections under the
guidance of a Proposal Manager.
● Assist in proposal kickoff meetings, color team reviews, and post-submission debriefs.
● Help train and mentor junior proposal or marketing staff, reviewing their work and providing feedback as
needed.
● Support CRM updates, proposal tracking, and metrics reporting related to pursuits and submission
outcomes.
● Contribute to continuous improvement efforts in proposal process, quality standards, and content
management.

● In this role, you’ll leverage your expertise in Adobe InDesign to design and deliver visually compelling proposals that support strategic pursuits and help win new business. 

Qualifications

● Bachelor’s degree in Marketing, Communications, English, Journalism, Business, or a related field.
● 4+ years of experience in proposal writing or coordination within the A/E/C, environmental, engineering,
or professional services industries.
● Demonstrated ability to develop persuasive, technically accurate, and well-organized proposal content.
● Proficiency with Adobe InDesign and Microsoft Office Suite; experience with Adobe Creative Cloud and
CRM/proposal tracking systems is a plus.

● Excellent attention to detail, time management, and communication skills.
● Ability to work independently and collaboratively across remote and distributed teams.
● Experience interpreting and responding to public and private sector procurement documents (RFPs, RFQs,
RFIs).
● Strong organization skills with the ability to manage multiple concurrent deadlines.

Physical Demands & Work Environment

• This position primarily operates in a professional office environment, requiring the ability to work at a
desk for extended periods while using a computer, phone, and standard office equipment.
• The position involves sitting for extended periods, performing data entry, and engaging in frequent
communication via email, phone, and in-person interactions.
• The role involves regular communication with team members, clients, and stakeholders, both in person
and through virtual platforms.
• The physical demands of the job may include occasional standing, walking, bending, and lifting of office
materials up to 15 pounds.

Travel Requirements

● This position does not require regular travel as part of its primary responsibilities. However, occasional
travel may be required, up to 10%, primarily for occasional off-site meetings, training sessions, or
company events. Travel, when necessary, will be communicated in advance and aligned with business
needs.
